We are seeking a highly organized and proactive Fractional Private Controller to help manage the financial administration of a family with privately owned businesses and investments. This role is focused on financial organization, oversight, planning, and coordination — ensuring financial records are accurate, systems are organized, deadlines are met, and ownership has a clear understanding of financial activity across entities. This is not a traditional bookkeeping position. We are looking for a trusted financial operator who enjoys creating structure, improving processes, coordinating with advisors, and keeping financial operations simple and organized.
Responsibilities
- Financial Oversight & Organization
- Oversee outsourced bookkeeping operations for owner entities and smaller businesses
- Ensure bank accounts, credit cards, loans, distributions, and transactions are properly tracked and recorded
- Organize and maintain financial records across personal and business entities
- Review financial statements, reports, and bookkeeping output for accuracy
- Maintain a clear financial picture across multiple entities
- Tax & Advisor Coordination
- Prepare organized year-end financial packages for CPA/tax preparation
- Coordinate with external accountants, tax advisors, attorneys, and other professionals
- Track required documents, deadlines, and follow-ups
- Ensure efficient communication between ownership and outside advisors
- Entity Management & Compliance
- Track business filings, annual renewals, registrations, licenses, insurance, and compliance deadlines
- Maintain entity documentation and important financial records
- Assist with banking, insurance, and administrative financial matters
- Personal Financial Administration
- Assist with personal budgeting, forecasting, and financial planning
- Help organize spending, cash flow, investments, liabilities, and major financial decisions
- Create simple reporting to provide visibility into overall finances
- Business Financial Operations Support
- Assist with AP, payroll, banking, insurance, and general finance operations projects as needed
- Help review operating company financials and identify areas needing attention
- Improve financial systems, processes, and workflows across entities
Ideal Candidate
Experienced accountant, controller, finance manager, or financial operations professional. Experience working with entrepreneurs, privately held businesses, or multiple entities preferred. Strong understanding of bookkeeping, accounting systems, and tax preparation workflows. Highly organized with exceptional attention to detail. Able to independently manage projects and deadlines. Strong problem-solving skills and ownership mentality. High level of confidentiality, discretion, and professionalism. Comfortable leveraging technology and automation. Experience using AI tools such as Claude, ChatGPT, or similar platforms to improve organization, reporting, workflows, and productivity is a major plus.
Position Structure
This is a fractional / part-time role with flexible hours. The position is designed for an experienced finance professional who can provide high-level oversight, organization, and financial management without requiring a full-time schedule. Ideal for someone who has operated as a controller, accounting manager, CPA, or finance professional and is looking for a flexible long-term role supporting an entrepreneurial family and their businesses.
Pay: $40.00 – $80.00 per hour
