We are a small, established advertising agency seeking an experienced financial professional for a flexible, part-time role combining controller-level financial oversight with administrative and project coordination support.
This is an unusual opportunity that may be particularly appealing to an experienced corporate finance/accounting professional who has stepped away from a full-time corporate career and is looking for meaningful, intellectually engaging work on a flexible schedule. The ideal candidate will bring strong professional judgment and independence, while being genuinely interested in learning the unique accounting and business practices of the advertising industry.
The role includes financial oversight, reporting, reconciliations, cash-flow monitoring, and related controller responsibilities, along with administrative support, project coordination, and a small amount of HR-related work. We have a CPA firm that handles our tax preparation and tax filings, so this position is NOT a tax-accounting role.
We are looking for someone who has an entrepreneurial spirit, can learn our business, understand how we operate, and then use good judgment to work independently rather than needing extensive day-to-day direction.
General Accounting Responsibilities
- Monthly checking account reconciliations in QuickBooks Online
- Weekly payroll (online Gusto platform)
- Record payroll journal entries in Gusto (this will need to be done starting 1/1/2025)
- Generate/send recurring and pop-up client invoices in QuickBooks
- Record deposits in QuickBooks
- Monthly 90+ day past due statements to business owner
- Maintain billing log (Google Sheets)
- Pulling/billing annual campaign fees and recurring service changes from ad plans once received
- Direct mail quotes, payment processing, postage payments, profit summary
- Vendor bills, schedule payment in QuickBooks
Tax Responsibilities
- Employee taxes
- Communication with Department of Labor
- Business taxes (monthly sales tax reporting)
- Annual report
- W-2s, 1099s
Employee Onboarding & Benefits Plan Management
- Employee onboarding (I-9, W-4, W-2 , W-9) and record management
- Dental & health insurance plan administration
- SIMPLE IRA payment reporting and payments
- PTO tracking and end-of-year payouts
Financial Planning Responsibilities
- Financial projections
- Cash flow management
- Financial decision assistance to business owner
Office Administration Duties (As Needed)
- Maintaining client service and contact information
- Updating agency and vendor fees/invoices tracking tools
- Assisting with general project management and job flow
- Preparing time reports for billing

8 hours per month
Compensation
$ 45.00 – $ 45.00 per hour
